Role Highlights: The position provides administrative and operational support to the Contracts Manager by managing contract intake, processing, tracking and recordkeeping to ensure timely execution and compliance with company policies and procedures.
Shaping Impact: Your Key Responsibilities:
- Receive and log contract requests; perform initial intake and triage for priority, type and required approvals
- Prepare standard contract templates (NDAs, MSAs, SOWs, vendor agreements) for review and signature using approved templates
- Route documents for internal review and approvals; coordinate revisions and maintain redline histories.
- Manage e-signature workflows and collect executed signatures; distribute fully executed copes to stakeholders.
- Maintain contract repo9sitory and ensure accurate data (term dates, renew windows, parties and obligations).
- Track key contract dates, milestones, and deliverables; generate calendar reminders and renewal notices.
- Scan, index and store contracts and related documents per retention policies.
- Support contract audits, reporting and basic metrics (volume, turnaround time, renewal pipeline).
- Respond to routine contract status inquiries from business teams and vendors.
- Escalate legal or commercial issues to Contracts Manager/Legal Counsel when exceptions or non-standard terms are requested.
- Assist with onboarding vendors: collect required documents (W-9, insurance certificates, compliance forms).
- Support process improvement initiatives and maintain standard operating procedures and templates.
- Associate’s or Bachelor’s Degree in Business, Paralegal Studies, Finance or related field preferred.
- 1-3 years administrative or contract support experience, or paralegal/procurement support background.
- Familiarity with common contract types and basic contract terms.
- Experience with contract management systems and e-signature platforms (e.g. DocuSign, Ironclad, Conga) a plus.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Discretion handling confidential information.
- Team-oriented, responsive and customer service focused.
- Ability to sit or stand for extended periods of time.
- Ability to communicate effectively in person and over the phone.
